INTERESTED PARTIES
Purpose: The purpose of this policy is to provide adequate time for City Council members
to consider late submittal of information regarding agendized and non-agendized items.
It is the policy of the City Council to establish a time line by which written information
may be submitted from members of the public, project proponents and interested parties.
Late information submitted to the City Clerk by 5:00 p.m., the day prior to the scheduled
City Council meeting, will be documented as part of the agenda packet material and
distributed to the City Council members the morning of the scheduled City Council meeting.
Written information submitted the day of the City Council meeting will be forwarded
to the City Manager's office for distribution with all other incoming mail and will not be
received by the City Council prior to the scheduled meeting. Individuals desiring to submit
late written information to the City Council on an agendized item must orally make such a
request at the time the item is to be heard. Individuals desiring to submit late written
information to the City Council on a non-agendized item must make such a request during
oral communications. It is at the discretion of the City Council whether to accept written
information at the meeting, and if they determine to accept the material, it will be submitted
to the City Clerk.
This policy will not limit the City staff needs to occasionally provide the City Council
with last minute information or make revisions to recommendations based upon last minute
information. If this must occur, written information from staff will be provided to each
Council member on the dais prior to the City Council meeting.
This policy will not limit the City Council's ability to add an item to the agenda
because of urgency by a 4/5 vote.
