Sievers, Director Public Lands and Facilities Extension of Contracts - Landscape Maintenance (BotaCo, Inc.) In August, 1989, the City of San Juan Capistrano contracted with BotaCo, Inc. to provide landscape maintenance for the City parks, parkways, facilities and landscape maintenance districts. Those contracts, which allowed for extensions not to exceed 36 months, were extended in June, 1990, for a one year period of time (allowing for only a 5% cost of living adjustment). BotaCo, Inc. has requested that the City once again consider extending their contracts for one year. They have proposed that there would be no cost of living increase for this final year of their contracts. The only increase in costs will be for the new soccer fields and parking lot at Cook Park, which were built last year. The addi- tional amount for this work will be $13,440.00 per year. This amount is calculated at the same "per acre" price as the existing park maintenance. Since contracting with BotaCo, Inc., the number of service requests and problems in the parks and with the landscape maintenance districts has dropped dramatically. In addition, BotaCo has worked closely with the City in its efforts toward water conservation and is familiar with the City's computer irrigation control system. It will be necessary for the City to solicit new bids for landscape maintenance in 1992. At this time, however, Staff recommends a one year extension of contracts with BotaCo, Inc. for maintenance of the following: City Parks City Parkways City Facilities Landscape Maintenance District No. 1 Landscape Maintenance Districts (Tracts 7673, 8485, 9382, 9284 & 9373/7654) FOR CITY COUNCIL AGEND1RCI... COMMISSION/BOARD REVIEW, RECOMMENDATIONS N/A FINANCIAL CONSIDERATIONS The cost of City parks, parkways, and facilities maintenance is budgeted in Public Lands and Facilities Account No. 01-6213-4440. The cost of these contracts is $206,960.25. The cost of landscape maintenance district contracts is budgeted in Public Lands and Facilities Account No. 07-6213-4440. The cost of these contracts is $39,689.87. This money is recovered by the annual Landscape District assessments. ALTERNATE ACTIONS 1. Approve a one year extension of contracts with BotaCo, Inc. for the maintenance of City Parks, Parkways, Facilities, Landscape Maintenance District No. 1, and Landscape Maintenance Districts (Tracts 7673, 8485, 9382, 9284 and 9373/7654). 2. Do not approve the contract extensions with BotaCo, Inc. 3. Request further information from Staff. RECOMMENDATION By motion, approve a one year extension of contracts with BotaCo, Inc. for the maintenance of City Parks, Parkways, Facilities, Landscape Maintenance District No. 1, and Landscape Maintenance Districts (Tracts 7673, 8485, 9382, 9284 and 9373/7654).
